The Shoe Box Problem Is Real

If you are a DIY landlord managing one, two, or several doors in Central Oregon, there is a good chance your rental finances live in at least three or four places at once — a bank account here, a Venmo payment there, a QuickBooks subscription, a separate screening tool, and a spreadsheet your CPA quietly dreads. Suzanne and Sarah have been there. On episode 34 of the Real Deal Podcast, they talk through exactly why that patchwork approach breaks down and what they are using instead.

Why Backend Operations Matter More Than People Admit

Real estate investing gets marketed as passive income, but the landlord work behind it — collecting rent, tracking expenses, screening tenants, reconciling books — is anything but passive. As Sarah puts it, this is the job part of investing. Getting those backend operations dialed in is what actually lets the income side run smoothly.

The timing matters too. Tax season comes back around faster than it feels like it should, and the landlords who scramble in February are usually the ones who spent the year bouncing between systems. Starting a clean, consolidated system now — wherever you are in the year — is better than waiting.

What Baselane Does

The tool Suzanne has started using is called Baselane. It is built specifically for independent landlords and investors, not enterprise property managers. Here is what it consolidates into one platform:

It works for long-term, mid-term, and short-term rentals. It can accommodate multiple properties and multiple entities, so however your portfolio is structured, the platform can reflect it.

The basic platform is free. Suzanne notes that through their network, members can access the upgraded version at no cost.

A Real Example of the Savings

Suzanne had been running separate QuickBooks subscriptions for different parts of her portfolio. After moving her rental properties into Baselane, her bookkeeper now works inside that platform for those properties, which eliminated one of those subscriptions entirely. That change alone saves her hundreds of dollars a year — and that is just one line item.

What Clean Books Actually Get You

Beyond tax time, organized financials have practical value throughout the year. Sarah and Suzanne point to two situations where this shows up clearly for their clients in Bend and Central Oregon:

At any point in the year, you can look at a single property or your whole portfolio and see exactly how it is performing. That visibility makes decisions — hold, sell, refinance, buy another — much easier to make with confidence.

Built by Investors, for Investors

One thing Suzanne emphasizes is that Baselane was built by people who are investors themselves. They understood the specific friction points DIY landlords face and designed the tool around solving them. There are also real humans available to help — people you can call or get on a Zoom with — which matters when you are trying to set up a system you will actually use.

Join the Conversation at the Next Investor Meetup

Suzanne and Sarah are covering Baselane in depth at the Central Oregon Investor Network's upcoming free online meetup. If you are in Bend, there may also be an in-person option at a colleague's office. The meetup runs noon to 1:00 p.m. Pacific.

You can find event details, sign up for the link, and get on the mailing list at meetup.com by searching for Central Oregon Investor Network. If you cannot make it live, the replay will be on their YouTube channel.

If you want to go further with your investing — private money, portfolio strategy, and building real systems — the PRIMO Private Money Academy is the place to do it alongside Suzanne, Sarah, and a community of like-minded Central Oregon investors. Come to a meetup and ask them about it directly.
